The secretary is as someone so exactly remarked “the right hand of the council and the minister”.
He/she records the salient points of every meeting and refines them for future reference.
Gives a copy of the minutes of the past council meeting to eachcouncil member before or at the day of present meeting forapproval.
The secretary is also the historian and archivist of the fraternity. She keeps the entire file / record of thefraternity that includes its history, its people and events. Such important facts and events, which at times may seem meaningless, are the warp and woof of every fraternity’s history.
She/he keeps the directory of the members of the fraternity and keep it updated annually to reflect any addition, deletion or correction.
The secretary is the “communicator” of the fraternity. She/he keeps the members abreast of what is taking place internationally, nationally, regionally and locally. Publishing a newsletter is one of the principal means of communicating important information to all the members.
The newsletter should convey to all members,especially those who are unable to attendmeetings regularly, informative and stimulatingnews about the SFO at all levels.
Fliers, brochures, letters or any kind of announcement regarding the fraternity or the SFO in general of its activities or events are handled by the secretary.
As communicator, the secretary in a sense is the life blood of the fraternity.
The secretary sees to it that attendance of members at thefraternity meeting is recorded. A sign-up sheet is prepared atevery meeting and making sure this has been passed aroundsigned by all.
